Privacy Policy

Suga Professional Tax Services (hereinafter, “We”) will protect client information in compliance with Certified Public Tax Accountant Act and contractual obligations in accordance with the principles below.

In addition, in accordance with the below principles, we will protect personal information and specified personal information including Social Security and Tax Numbers (as known as My Number) in compliance with the privacy rules on the protection of personal information and relevant guidelines thereto.

Principle on acquisition

We will collect client information, personal information, and specified personal information in compliance with legal requirements and take appropriate measures.

Purpose of use of client information and personal information

Client information and personal information shall be used, unless otherwise allowed by laws and regulations, to the extent that it is necessary for provision of the following services:

(1)Tax services under the Certified Public Tax Accountant Act
(2)Consulting services
(3)Other relevant services necessary to carry out contracts with clients
(4)Replying to inquiries
(5)Sending relevant documents
(6)Sending e-mail newsletters or seminar information

Use of personal information for the purposes of (6) above shall be suspended immediately when we receive a request to do so.

Purpose of use of specified personal information

Specified personal information shall be used only for provision of the following services:

(1) Affairs related to withholding tax, social insurance, labor insurance for employees, etc.
(2) Affairs related to “Yearend Tax Adjustments” and “Payment Reports” in accordance with service agreements
(3) Tax representation in accordance with service agreements
(4) Preparation of tax documents in accordance with service agreements
(5) Other affairs related to (3) and (4) above

Please note that an “affair” in this context means a series of actions: acquisition, custody, submission to local authorities, and deletion/destruction.

Provision of information to a third party

We will provide personal information or client information to a third party only when prior consent is obtained by the relevant party or client. Please note that specified personal information shall not be provided to a third party unless applicable provisions in laws and regulations allow.

Provision of information outside of Japan / Transfer from outside Japan

When we provide client information or personal information to vendor companies or individuals, or receive such information from them, we will carry the transfer out in compliance with applicable laws, regulations, contractual obligations, and professional standards.

Maintaining accuracy of information

We will endeavor to keep client information, personal information, and specified personal information accurate and up to date only when necessary and within the purposes of its use.

Retention of information

We should not retain client information and personal information beyond an appropriate period tied to the purpose of use by laws and regulations. We do not retain specified personal information beyond the period such laws and regulations require.

Procedure for requesting information disclosure

When we receive a request related to disclosure of personal information or specified personal information from the relevant party or owner of the information, we will handle such request in compliance with relevant laws and regulations. As a result of such disclosure, when personal information or specified personal information is found inaccurate or not up to date, we conduct corrections as required by law.

Safety measures

We will implement security measures, including information security measures to prevent unauthorized access and to protect client information, personal information, and specific personal information from loss, destruction, falsification, and leakage.

Provision to a third party and subcontracting

Where we subcontract handling of client information, personal information, and specified personal information with a client’s prior consent, we will select a third party with an adequate privacy policy, as well as set safety measures in the contract and conduct necessary and appropriate monitoring.

Principle of continuous improvement

The safety measures and rules herein should be reviewed and revised regularly.
